Bookings arrive from the Self Vibe customer app, from your own booking link, or from you entering a call or a walk-in. They land in the same place. Each team member has their own working hours, so the calendar only offers times someone can genuinely work, and you can block out breaks, travel and holidays. Appointments can be rescheduled, reassigned to another team member, or cancelled, and the client is kept informed.

Clients

Every client has a single record holding their contact details, full appointment and sales history, reviews, notes and files.

The client record is what makes a repeat visit feel personal. It carries what was done last time, what it cost, what was used, and anything you noted — allergies, formulas, preferences, consultation forms, before-and-after photos. Anyone serving that client can see it, so a regular does not have to re-explain themselves because their usual stylist is away. Client records belong to your business and can be exported.

Sales, payments and checkout

Check out a client in the app or at your counter, take card or cash, and have every sale recorded against the right client and team member.

Checkout covers services, retail products, gift cards and memberships in one sale. Payment can be taken in the app or in person, and cash is recorded the same way card is, so your figures reflect everything you actually took rather than only the digital portion. Every sale produces an invoice. Deposits taken at booking are credited against the final bill. Daily summaries close the day out.

Catalog and inventory

Your service menu, retail products, stock, suppliers, gift cards and memberships live in one catalog.

Services carry a price, a duration and the team members qualified to perform them, which is what lets the booking flow offer honest times. Retail products carry stock levels, so what sells at the counter comes off the shelf count, and stocktakes reconcile the difference. Suppliers are recorded against the products you buy from them. Gift cards and memberships are sold and redeemed through the same checkout as everything else.

Team and branches

Each team member gets their own account, working hours and service list, and their own professional profile that clients see when choosing who to book. Access follows the role: a stylist works their own column without seeing the business's full financial reporting, while owners and managers see everything.
